🏢 Organization
An Organization in CLEATUS represents the overall structure of your business. It can contain multiple Entities, each functioning as a separate business unit under the same Organization.
At the Organization Level, You Can:
✅ Assign user roles and control access to specific Entities.
✅ Oversee multiple Entities, but each Entity has its own subscription.
💡 Pro Tip:
Even if your Organization has multiple Entities, each Entity is billed separately.
🏢 Company
A Company is a distinct business unit within your Organization. Each Company:
✅ Manages its own contract proposals, compliance, and settings.
✅ Has its own CLEATUS subscription (billing is per Company).
✅ Has a Unique Entity Identifier (UEI) and CAGE Code.
✅ Operates independently while remaining part of the larger Organization.
Why Use Multiple Companies?
If your business serves different industries, locations, or certifications, structuring your Organization into multiple Companies allows you to customize contract strategies for each one while keeping finances separate.
💡 Pro Tip:
You can add multiple Companies under one Organization, but each Company requires its own subscription to access CLEATUS features.
📜 Contract
A Contract is a government agreement at the federal, state, or local level to provide services or goods.
How CLEATUS Uses Contracts:
✔️ Serves as the foundation for Opportunities (contract matching & proposal writing).
✔️ Add to Opportunities to Trigger AI-powered tools (document analysis, compliance scoring, proposal generation).
🎯 Pipeline
A Pipeline item is a contract that aligns with your Entity’s capabilities, either:
🔹 Automatically identified by CLEATUS AI based on your Entity Profile, or
🔹 Manually added by you.
Once a contract is added to your Pipeline, CLEATUS activates all key AI features:
✅ Document Breakdown – AI scans and structures contract files for faster review
✅ Compliance Score – Instantly evaluates how well your business aligns with the opportunity
✅ GovCon AI Chat – Ask questions, get insights, and explore strategy in real time
✅ AI Proposal Writer – Draft tailored, compliant proposal content using your own materials
💡 Think of your Pipeline as the launchpad for every bid-ready contract.
📊 Compliance Score
The Compliance Score is a CLEATUS-generated metric that evaluates how well your business meets an Opportunity’s requirements.
Key Factors That Influence the Compliance Score:
📌 Certifications (e.g., HUBZone, SDVOSB)
📌 NAICS Codes (Industry classifications)
📌 Past Performance Records (Previous government contract success)
📌 Geographic Preferences (Where your business operates)
📌 Financial and bonding capacity
💡 A higher Compliance Score means a stronger fit for the contract—helping you make faster, more confident Bid/No-Bid decisions.
📌 Pursuit: Track & Manage Your Bid Pipeline
A Pursuit is a tracked Opportunity inside CLEATUS where you can manage your bid progress and keep your team organized.
What You Can Do in a Pursuit:
✅ Track progress using Kanban or List View.
✅ Assign users to manage specific Opportunities.
✅ Log notes & conversations to keep everything organized.
✅ Store important documents (solicitations, pricing sheets, compliance reports).
💡 Why Use Pursuits?
Pursuits turn contract opportunities into a structured pipeline, helping your team stay aligned and ensuring nothing falls through the cracks.
📁 Document Hub
The Document Hub is your AI-powered content library for GovCon—designed to help you organize, search, and reuse your best proposal-ready materials.
You can:
🔹 Upload files like past performance, resumes, or management plans
🔹 Create reusable content blocks even without a file
Once added, CLEATUS automatically breaks your content into structured, searchable sections:
✅ AI-Powered Breakdown – Extracts titles, headers, and content into usable blocks
✅ Manual Entries – Add and tag content directly when no document exists
✅ Proposal Integration – Instantly insert relevant content when generating proposals
💡 Build once. Reuse across every bid. Document Hub turns your best work into a scalable advantage.
